Operations Assistant

Job Summary

We are seeking an Operations Assistant to join our team in supporting the day-to-day administrative and operational functions of our organisation.

Job Description

The role is typically work from home unless otherwise required. Some travel may be necessary for events, performances, classes, trainings, meetings etc. Equally, evening and weekend work may be occasionally required.

This position has potential for promotion and progression.

Customer Service

  • Liaising with clients and team on bookings, scheduling, feedback and troubleshooting.
  • Answering and following up on enquiries through email, phone, and social media.
  • Following up with potential clients after trials and tasters.
  • Supporting with client accounts and with chasing outstanding payments.
  • Representing the company’s ethos in all interactions.

Scheduling & Administrative support

  • Overseeing daily and monthly activity schedules and ensuring databases are up-to-date.
  • Allocating sessions and coordinating freelancers based on availability and skillset.
  • Organizing session covers when required
  • Supporting with recruitment and onboarding process for new freelancers and staff.
  • Supporting project and event planning in collaboration with line manager.

Digital Media Support

  • Managing and updating online directories, databases, and the company’s website.
  • Creating and sending monthly, weekly and exclusive newsletters to relevant mailing lists.
  • Updating social media in line with the company’s marketing strategy.
  • Writing and publishing Blogs on the company’s website when required.
  • Engaging with online communities and social media audiences, in line with the company’s marketing strategy.

Reporting & Development

  • Keeping records of progress and meeting all weekly and monthly KPIs.
  • Attending regular meetings with the line manager, including a monthly performance review meeting.
  • Participating in relevant training and development as needed.

Job Requirements

  • Strong administrative and organizational skills
  • Excellent customer service and communication, with a strong ability to build and maintain client relationships
  • Effective problem-solving and decision-making under pressure, with the ability to work independently
  • Proficiency in multitasking, time management, and prioritizing tasks to meet deadlines
  • Strong interpersonal skills for teamwork and collaboration with a diverse team
  • Proficient in digital media and software, with quick adaptability to various platforms
  • Hands-on experience with social media platforms for community engagement and promotion
  • Proven experience in supporting project and event planning from start to finish
  • Basic understanding of marketing principles to contribute to company marketing efforts
  • Strong alignment with company mission and ability to represent and uphold brand reputation
