Job Description

AkomaAsa Performing Arts Academy is seeking an Administrative Coordinator to support our day-to-day operations. This is an exciting opportunity for an arts administrator passionate about creative arts and supporting children, young people and adults to join our team. This is a hybrid role located in Stockwell but with flexibility for some remote work.

We are looking for an experienced, committed, highly motivated individual with excellent administrative and organisational skills. The successful candidate will be: responsible for coordinating and maintaining administrative practices and procedure to support for the smooth running of the academy, the first point of contact for students, parents and guardians and the community, able to proactively prioritise, keep deadlines and manage multiple tasks.

This is a great opportunity to play a central role in the growth of AkomaAsa Arts, while developing your career within the arts sector. The position is an in person role and with some remote requirements as needed. You will be working as part of a small, friendly, dynamic Academy team. Candidates applying for this role should have keen interest in the arts, in particular awareness of Western and African Diaspora dance and performing arts. Able to offer flexible working days/hours.

Please note that the appointee will be subject to an enhanced disclosure from the Disclosure Barring service. The Administrative Coordinator will be responsible for managing administrative tasks, including scheduling, managing invoices, responding to inquiries, and coordinating events. The Administrative Coordinator also provides support to the Director and the rest of the team as needed.

This is a freelance, part-time post working 16 hours per week at £12.50 per/hour.

Job Requirements

Essential Skills & Experience:

  • Minimum of 1 year prior administrative experience
  • Excellent interpersonal, oral and written communication skills
  • Experience working in an environment with CYP
  • Good organisation skills, ability to multitask, prioritise and work to deadlines 3 effectively
  • Good computer skills; working knowledge including MS Office (Word, Excel, Experienced in the use of social media platforms;
  • Friendly and professional, able to work independently & as part of a team
  • Awareness of Equal Opportunities, Anti-Racism, Diversity & Inclusion policies
  • Strong work ethic, able to be adaptable and flexible.

Desirable Skills & Experience:

  • Specific experience of working in the arts
  • Some experience working with budgets
  • Knowledge of Health and Safety practices and procedures
  • Knowledge of safeguarding practices and procedures
  • Creating and monitoring evaluating questionnaires
  • Experience with Adobe Reader
  • Experience with MailChimp or similar email marketing

Job Responsibilities

  • The role supports the Academy’s managers, teachers, parents and students through organisational and communication systems.
  • Create, coordinate and manage the ongoing maintenance of administrative systems and processes
  • Create, schedule and manage day today social media posts ( X; Twitter, Instagram, Linkedin, Facebook, YouTube, and Ticktock)
  • Proactively liaise and build strong relationships with children and young people (CYP) parents of prospective and existing CYP and the wider community
  • In liaison with the programme manager coordinate communications for teaching assistants, volunteers, children and young people.
  • Assist with administration for Academy performances, projects & events
  • Address all enquiries to the Academy by maintaining academy email accounts
  • Perform various administrative tasks, such as drafting and distributing meeting agendas and minutes, composing letters and emails, and creating termly newsletters, organising online and in person meetings.
